Soul Shepherding Job Opportunities

Soul Shepherding is a dynamic nonprofit ministry based in Orange County, CA that equips pastors and influencers with resources, coaching, and training to thrive with Jesus in life and leadership. It was founded in 2009 by Bill and Kristi Gaultiere, doctors of psychology, spiritual directors, and board members. After keeping the organization small for the first decade, in 2019 they pivoted into a growth strategy and quickly doubled in revenue, staff, and ministry output. Current Openings

Soul Shepherding currently has an opening for a key administrative position, supporting our flagship Institute retreats.  This is a part-time, remote position with a maximum of 25 hrs/week.  The hourly pay rate will be discussed based on qualifications.  The ideal candidate would be a graduate of our Institute retreats.  Please see the job description for more information.

Position Overview

The mission of the Programs Administrator position is to support the ministry of Soul Shepherding by providing administrative support for Soul Shepherding programs/ministries and services including Spiritual Direction and Coach Training Programs, Sr. Spiritual Directors and Sr. Coaches. This position reports to Robyn Jungeblut (Sr Mgr – Ministries/Programs) and collaborates with key staff on all projects, along with the following responsibilities:

Responsibilities

1. Provides administrative support for the Programs/Ministries department, including but not limited to: Spiritual Direction Training and Coach Training programs. Tasks include initial registrations and supporting all communication to students from the beginning to the end of the program, coordinating communication with all internal stakeholders, SDs, Sr SDs and Coaches.

2. Monitors credentialing compliance of all SDs, Sr SDs and Coaches to include supervision hours, session hours, maintaining liability insurance coverage, etc.

3. Owns and responds to contact@soulshepherding.org email. This includes sending to the appropriate manager and/or responding directly when able.

4. Updates pipelines and tags within Active Campaign as well as ministry documents.

5. Own, respond, and track Zapiers concerning Network, Acuity and applications

6. Maintains meeting notes in Asana and creates subtasks during meeting for collaborative workflow.

7. Maintain Google drive and Dropbox files/folders, and ministry spreadsheets for sharing/collaboration with staff

8. Attends weekly Programs/Ministries meetings and 1:1 with Senior Manager of Programs/Ministries for communication, collaboration, clarity, and direction.

9. Compiles and maintains monthly KPI metrics as noted in the KPI monthly reports.

10. Utilizes Active Campaign, Acuity Scheduling and a client relationship management (CRM) or other systems to organize information and facilitate outreach communications and measure the performance of programs.

11. As needed, provides administrative support for Sabbatical Program, One Day Retreats, Alumni Retreats, and Healthy Pastor Care.

Qualifications

1. Enthusiastic agreement with Soul Shepherding Statement of Faith, mission, policies and values.

2. Excellent communication skills (written and verbal).

3. Highly organized and attentive to detail.

4. Self-motivated team player who sees what needs to be done, takes initiative, prioritizes tasks, works independently with minimal oversight, and collaborates well with other staff.

5. Become proficient with Active Campaign and own the input and reporting for the team. 6. Proficiency with technology, including Active Campaign, CRMs, Google Docs & Sheets, Dropbox, Zoom and Asana.

What Success Looks Like

1. You feel that you belong on the team, your role contributes to the whole, you see your work as ministry and your work is helping you grow spiritually.

2. Soul Shepherding clients, students, donors, partners, and vendors feel respected, cared for, and have received the assistance they needed in a timely fashion. The expectation is a 24-hr response time to internal and external communications (excluding weekends).

3. Your efficiency enables the Sr Manager of Ministries, Spiritual Direction and Coach Training Manager, Pastoral Ministries Manager and Partnerships lead to spend less time on administrative tasks and more time on strategic planning/direction.

Position Overview

  1. Fulfilling online orders from the Soul Shepherding Store (Shopify).
  2. Fulfilling orders as requested by staff for other ministry needs (Institute retreats, orders for events, partner ministries, etc.).
  3. Packaging orders of various sizes for safe shipment, weighing packages for final shipping totals, printing labels + adding to packages.
  4. Dispersing orders for shipment (either scheduling pick ups or bringing orders to UPS/USPS offices).
  5. Performing physical inventory counts every other week and maintaining digital inventory numbers both in Google Sheets and Shopify.
  6. Maintaining physical inventory space, includes cleaning and organization and possibly assembling of shelving.
  7. Anticipating the reorder needs of shipping and packing supplies + handling reordering through our chosen vendors.
  8. Notifying staff when certain product inventory levels are within reordering range.
  9. On an as needed basis, potentially reach out to customers via email or phone to troubleshoot any errors with their order, shipping address, etc.
  10. Working to become an expert in Soul Shepherding’s online offerings and internal systems.
  11. Occasional transportation of inventory to local churches or ministries.
  12. Picking up printed orders from local printer in Irvine.
  13. Possible errand running, event prep and working Soul Shepherding table at local events (includes table display and inventory packing before and after event).
  14. Possible occasional personal assistant work for founders Bill and Kristi Gaultiere and their home.

Qualifications

  1. Enthusiastic agreement with Soul Shepherding’s Statement of Faith, mission, and values.
  2. Organization skills
  3. Experience or a desire to learn in a customer support role processing online orders preferred
  4. Experience in an administrative or office capacity preferred
  5. Strong Microsoft Excel/Google Sheets skills
  6. Eye for detail
  7. Takes initiative to follow up, ask questions, and ensure orders are processed and fulfilled in a manner that meets our standard of excellence
  8. Ability to work independently
  9. Ability to take direction as needed from management
  10. Strong communication skills, both written and verbal
  11. Ability to learn new processes, tasks, and systems in a quick and efficient manner
